Privacy Policy

This Privacy Policy explains how SCOVEC handles information in connection with SCOVEC Care. Last updated: 18 August 2026.

1. Introduction

SCOVEC ("SCOVEC", "we", "us") builds focused software products. SCOVEC Care is our nursery and childcare management platform, made up of a Nursery Owner Portal and mobile applications for teachers/staff and parents/guardians.

This Privacy Policy describes the information that may be processed through SCOVEC Care and the SCOVEC website, how it is used, and the choices available. It applies to nursery owners and administrators, teachers and authorised staff, and parents/guardians who use SCOVEC Care.

Nurseries decide which SCOVEC Care features they enable and what information they record. Where a nursery uses SCOVEC Care to manage its own records, that nursery is responsible for the information it enters and shares, and SCOVEC processes it to provide the service.

2. Information We May Collect

Account information

  • Name
  • Email address
  • Phone number (where provided)
  • Account credentials and authentication data
  • Role (for example owner, staff member, parent/guardian)
  • Nursery affiliation

Nursery information

  • Nursery profile and settings
  • Staff records created by the nursery
  • Class and group structures
  • Operational records such as schedules and announcements

Parent / guardian information

  • Name and contact information
  • Account information and linked children
  • Communication and notification preferences
  • Messages exchanged with the nursery through the platform

Child-related information

Depending on the features enabled by the nursery, SCOVEC Care may process information about children that is provided by the nursery or by an authorised parent/guardian in connection with childcare management. This may include:

  • Child name
  • Date of birth or age group
  • Attendance, check-in and check-out records
  • Classroom or group assignment
  • Daily reports and activity records
  • Meals, naps and similar care notes
  • Photos or videos shared by the nursery
  • Health or care-related notes, such as allergies, only where the nursery chooses to record them

SCOVEC does not require nurseries to record any particular category, and categories that are not enabled are not collected.

3. Device & Technical Information

When the applications or website are used, we may process technical information needed to operate and secure the service, such as device type, operating system, app version, IP address, browser information, diagnostic and crash information, and server log data.

We do not operate advertising trackers and we do not build advertising profiles from this information.

4. How Information Is Used

  • Providing and operating the SCOVEC Care service
  • Supporting nursery operations and administration
  • Enabling communication between nurseries and parents/guardians
  • Supporting teacher and staff workflows
  • Creating and managing accounts and access
  • Sending service notifications and updates
  • Providing customer support
  • Improving reliability, quality and performance
  • Detecting, preventing and addressing abuse, fraud and security incidents
  • Meeting legal and regulatory obligations

5. Children's Information

SCOVEC Care is designed for use by nurseries, authorised staff and parents/guardians. It is not directed to children as independent users, and children are not invited to create their own accounts.

Child-related information is provided and managed by authorised adults and organisations: the nursery that operates the account, and the parents/guardians it has authorised. Access is limited to those authorised users, according to the roles and permissions configured by the nursery.

  • Parental / guardian involvement: parents and guardians access records relating to their own children and can raise questions or objections with the nursery or with SCOVEC.
  • Nursery responsibility: the nursery determines what is recorded, who may access it, and how long it is kept within the platform.
  • Data minimisation: we encourage nurseries to record only the information needed for the care they provide.
  • Appropriate use: photos, videos and care notes must only be shared through the platform with authorised recipients.

If you believe child-related information has been recorded or shared inappropriately through SCOVEC Care, please contact us through our Contact page and we will work with the relevant nursery to address it.

6. How Information Is Shared

  • Within the relevant nursery organisation, according to configured roles
  • Between authorised parents/guardians and nursery staff, for the children they are linked to
  • With service providers that are necessary to operate and secure the platform
  • Where required by law, regulation or valid legal process
  • To protect the rights, safety and security of users, the public or SCOVEC
  • In connection with a business transfer, subject to this Policy

SCOVEC does not sell personal information. We do not share personal information for advertising purposes.

7. Service Providers

We may rely on trusted third-party providers to deliver the service. These are described by function rather than by name, and the list may change as the platform evolves:

  • Hosting and cloud infrastructure
  • Databases and file storage
  • Authentication and identity services
  • Push notification delivery
  • Transactional email delivery
  • Customer support tooling
  • Security, monitoring and error diagnostics

Providers may only process information on our instructions and for the purposes of providing their service.

8. Data Security

We use reasonable technical and organisational safeguards designed to protect information, including role-based access controls, authentication, encryption in transit and, where appropriate, at rest, secure infrastructure, monitoring, and least-privilege access for our team.

No method of transmission or storage can be guaranteed to be completely secure, so we cannot promise absolute security. Please keep your credentials confidential and contact us if you suspect unauthorised access.

9. Data Retention

Information is retained only for as long as reasonably necessary to provide the service, comply with legal obligations, maintain security, resolve disputes and meet legitimate business requirements. Retention periods vary depending on the type of record and the nursery's own policies.

Nursery administrators can generally control, archive or request deletion of records held in their account. When an account is closed, associated information is deleted or anonymised within a reasonable period, unless retention is required by law.

10. Your Rights

Depending on your location and applicable law, you may have rights in relation to your personal information, which may include:

  • Access to the information we hold about you
  • Correction of inaccurate or incomplete information
  • Deletion of information in certain circumstances
  • Restriction of certain processing
  • Objection to certain processing
  • Data portability
  • Withdrawal of consent, where processing is based on consent

Where information is held by a nursery within its own account, we may refer your request to that nursery and assist it in responding.

11. Account & Data Deletion

You can request deletion of your account or of personal information associated with it by contacting SCOVEC through our Contact page. Please include the email address associated with the account and the nursery you are connected to so we can verify the request.

Parents and guardians may also ask their nursery to remove records it has created. Some information may be retained where required for legal, security or record- keeping obligations.

12. International Data Transfers

Information may be processed and stored in countries other than the one in which you live, including where our infrastructure providers operate. Where information is transferred internationally, we take steps to ensure it remains protected in line with this Policy and applicable law, using appropriate safeguards such as contractual protections.

13. Cookies & Tracking

The SCOVEC website uses only the cookies and similar technologies that are necessary for the site to function and remain secure. We do not currently use advertising cookies or third-party marketing trackers on this website.

If non-essential technologies are introduced in the future, this Policy will be updated and any consent required by applicable law will be requested.

14. Push Notifications

SCOVEC Care may send push notifications to deliver relevant updates, such as daily reports, announcements, messages, attendance updates and other nursery communications.

Where supported, you can control or disable notifications from your device settings, and from in-app preferences where available. Disabling notifications may mean you miss time-sensitive nursery updates.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to the platform, our practices or legal requirements. When we do, we will revise the date below and, where appropriate, provide additional notice.
